Role: Regional Logistics Executive

Location: Hosur

1. Purpose 

To ensure effective and timely execution of IB regional export logistics operations by arranging CRO (Container Release Order), work order release, container loadability planning, coordination with shipping lines, coordination with sales country managers & distributors, thereby ensuring adherence to dispatch service levels, FG Inventory objectives and Logistics cost targets. 

2. Role Description 

1. Prepare monthly CRO requirements for 2W and 3W based on regional dispatch plans and coordinate with distributor-nominated forwarders, CMs and Distributor Logistics teams. 

Applicable SOP: Monthly IB Sales Plan 

1. Ensure timely arrangement of CROs through effective coordination with distributor forwarders, logistics teams and liners to meet defined dispatch service levels. 

Applicable SOP: Regionwide Sales Plan 

1. Execute region-wise work order release in SAP system based on PI prioritization received from CMs (Country Managers) / Regional Planners, ensuring alignment with dispatch priorities. 

Applicable SOP: Based PI prioritization in system by Country Managers 

1. Prepare Mix Model / Combination Load ability Matrix and coordinate with CMs for order punching, PI release and optimum load utilization. 

Applicable SOP: Basis distributor requirements 

1. Ensure timely completion of system-based load ability checks clearances within defined timelines. 

Applicable SOP: For non standard Lodability based distributor requirements 

1. Monitor daily dispatch status and share region-wise dispatch cover statements and MIS with CMs, RBHs (Regional Business heads), Planners and other stakeholders. 

Applicable SOP: Standard MIS reports base business need 

1. Identify potential dispatch constraints and coordinate with Country Managers, Distributor teams, Forwarders and Liners for alternate vessel arrangements in case of CRO non-availability, blank sailing or other disruptions 

1. Verify CROs / booking copies against defined checklists and ensure timely submission of accurate documents to IB Logistics Dispatch Planning and CHAs.

1. Maintain region-wise work order master data covering PI, CRO and dispatch status; monitor aged stock and coordinate with Sales teams for timely liquidation.

1. Coordinate with Country Managers, Regional planners and Distributor teams for resolution of dispatch-related issues and customer concerns; participate in regional meetings and PDCA reviews 

1. Coordinate with relevant stakeholders to ensure timely, compliant and error-free execution of DG shipments. 

1. Monitor CRO lapse, cancellation and re-validation costs and actively contribute to cost-saving and process improvement initiatives through PIP 

1. Participate in Logistics Cost saving initiatives & execution 

3. Managing Points 

• CRO requirement fulfillment as per monthly dispatch plan  (UOM: %; Review frequency: Monthly) 

• Dispatch service level achievement  (UOM: %; Review frequency: Monthly) 

• MIS report preparation  (UOM: Accuracy; Review frequency: Monthly) 

• Work order release adherence as per PI prioritization  (UOM: %; Review frequency: Monthly) 

• CRO / Booking document accuracy  (UOM: %; Review frequency: Monthly) 

• Aged stock monitoring & control  (UOM: No. of Vehicles; Review frequency: Monthly) 

• Load check / dispatch clearance adherence  (UOM: %; Review frequency: Monthly) 

• DG shipment execution adherence  (UOM: Time & accuracy; Review frequency: Monthly) 

4. Authority 

• Access to SAP / IOM systems for work order, PI, load check and dispatch-related activities 

• Coordination with Forwarders, Liners (Shipping Lines), IB Sales Country Managers, Distributor Logistics teams and CHAs. 

• Escalation of regional dispatch constraints and obtaining necessary approvals from the reporting manager 

5. Requirements 

• Full Time Graduate / Post Graduate with 3 ~5 years of relevant experience in Export Logistics, work experience with forwarders/ Liners, preferably in the automotive / manufacturing industry. 

• Hands-on experience in CRO / booking coordination, vessel planning, forwarder / liner coordination and export dispatch execution. 

• Working knowledge of export logistics, containerization, shipment planning and dispatch processes. 

6. Competencies and certification courses/trainings considered necessary to perform this job 

Functional competency 

• Knowledge on Export/ Import Shipping process - from Factory to Port / Destination

• SAP - hands on working experience (min 3~4 years)

• CRO / Vessel / Forwarder Coordination

• Oversea customer coordination

• Knowledge on International Business
